We will generate and send monthly invoices covering the shifts you have worked (those booked through Locum Hub Wales and any
External Shifts<\/a> entered into Locum Hub Wales) to each Practice you have worked at that month.<\/p>\n\n

Fees Re-investment Guarantee<\/h2>\n

Each invoice costs \u00a31.80, and all of the fee will be reinvested directly into Locum Hub Wales to improve the experience for its users.<\/p> \n\n

You can either pay via Direct Debit for what you use, or you can pre-pay - with a minimum \u00a336 top-up before you start. Whichever you choose, our team will get in touch to get you started. Remember - these fees are all tax deductible when you come to submitting your Self Assessment.<\/p>\n\n

This feature is managed and maintained by Locum Hub Wales, as an opt-in service for Locums and is not connected to NWSSP, Welsh Government or Train Work Live in any way.<\/p>\n\n

Before you start<\/h2>\n

When a monthly invoice is created it will include all of the Locum Hub Wales Shifts you have worked that month - those you booked through Locum Hub Wales, and those you have entered as External Shifts<\/a> (booked outside of Locum Hub Wales). \n

If you sign-up to Auto-invoicing part of the way through the month, all of the shifts for that month will be included in your first invoice, even the shifts you worked that month before you signed up for the service. \n

Please ensure you haven't already invoiced the practice for those shifts. With this in mind, if you need an invoice generated, please enter

The following terms and conditions apply to the User's use of the Automated Invoicing functionality in Locum Hub Wales Website which is owned and maintained by GPWales. You as the User should please read these terms carefully as they apply to you as an individual. By using Automated Invoicing you as the User agree that you have read, understood and agreed to these Terms (each as amended from time to time). If you do not agree to these Terms you must not use the Automated Invoicing functionality.<\/span><\/span><\/p>\n

    1. In this Agreement, unless the context otherwise requires, the following definitions shall apply:<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n<\/ol>\n

       <\/span><\/span><\/p>\n

      “Automated Invoicing” <\/strong>refers to the functionality enabling users to have invoices automatically formed and emailed to practices each calendar month on their behalf.<\/span><\/span><\/p>\n

       <\/strong><\/span><\/span><\/p>\n

      “Practice(s)” <\/strong>refers to the General Practice and the responsible individuals \/ partnership \/ company \/ limited company and\/or health board which manages that General Practice. <\/strong><\/span><\/span><\/p>\n

       <\/strong><\/span><\/span><\/p>\n

      “GPWales” <\/strong>is a trading name of <\/strong>GPUK Support Services Ltd. (Company No. 10292472) a company incorporated in England and Wales whose registered office is at 62 High Street, Merthyr Tydfil, CF47 8DE. Locum Hub Wales is also a trading name of GPUK Support Services Ltd, and is included in reference as GPWales<\/span><\/span><\/p>\n

       <\/strong><\/span><\/span><\/p>\n

      “User”<\/strong> refers to an individual who is registered to use GPWales Services.<\/span><\/span><\/p>\n

       <\/strong><\/span><\/span><\/p>\n

      “Website” <\/strong>refers to <\/strong>www.gpwales.co.uk<\/a> or www.locumhubwales.co.uk<\/a><\/span><\/span><\/p>\n

       <\/strong><\/span><\/span><\/p>\n

      “User Account” <\/strong>refers to the Account registered for with GPWales<\/span><\/span><\/p>\n


      <\/span><\/p>\n

      Fee Query<\/strong>” refers to a process initiated from the Shift page, and is between Practice and User to adjust the fee agreed for a Shift.<\/span><\/span><\/p>\n

       <\/strong><\/span><\/span><\/p>\n

      “Shift” <\/strong>refers to a period of time that a locum GP will be contracted to work by the practice. The duration of each period of time will be defined on a case by case basis on the Website per the data entered by a Practice Enabled User.<\/span><\/span><\/p>\n

       <\/span><\/span><\/p>\n

      “External Shift” <\/strong>refers to a Shift booked externally from Locum Hub Wales. It will not have been entered by a Practice Enabled User.<\/span><\/span><\/p>\n

       <\/strong><\/span><\/span><\/p>\n

      1. Use of Automated Invoicing<\/span><\/strong><\/span><\/span>\n
          \n
        1. You must not use our Website in any way that causes, or may cause, damage to the Website or impairment of the availability or accessibility of the Website; or in any way which is unlawful, illegal, fraudulent or harmful, or in connection with any unlawful, illegal, fraudulent or harmful purpose or activity.<\/span><\/span><\/span><\/li>\n
        2. We reserve the right to revise these Terms on reasonable notice to you. Revised Terms shall apply from the date of publication of the revised Terms on the Website.<\/span><\/span><\/span><\/li>\n

            1. Access to certain areas of our Website is restricted relating to each User’s permissions. We reserve the right to restrict access to areas of this Website, or indeed this entire Website, at our sole discretion.<\/span><\/span><\/span><\/li>\n
            2. All registered users will have a (“User Account<\/strong>”), it shall be to this account which Automated Invoicing is enabled.<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n<\/ol>\n

              1. Costs of Use<\/span><\/strong><\/span><\/span>\n
                  \n
                1. General use of the Website is free for all users as part of the licensing to NWSSP, however, use of the Automated Invoicing functionality is charged for.<\/span><\/span><\/span><\/li>\n
                2. All funds received from the Automatic Invoicing fees will be reinvested within GPWales.<\/span><\/span><\/span><\/li>\n
                3. A fee of £1.50 excluding VAT (£1.80 including VAT) per invoice generated will be charged to the user. <\/span><\/span><\/span><\/li>\n
                4. An invoice will be generated for each Practice the User has interacted with in the relevant period.<\/span><\/span><\/span><\/li>\n
                5. Payment will be taken in one of two methods;<\/span><\/span><\/span>\n
                    \n
                  1. By Direct Debit, based on number of invoices generated each month, invoiced after invoice generation<\/span><\/span><\/span><\/li>\n
                  2. By a manual prepayment ‘top-up’ to GPWales<\/span><\/span><\/span>\n
                      \n
                    1. With a minimum top-up payment of £36 (equivalent to 20 invoices) and a maximum of £180 (equivalent to 100 invoices).<\/span><\/span><\/span><\/li>\n
                    2. A top-up is required, after the initial payment has been made, whenever the balance of the top-up account is lower than the preceding month’s costs.<\/span><\/span><\/span><\/li>\n
                    3. The top-up payment will be required upon receipt of an invoice sent from GPWales to the user’s email account.<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n <\/ol>\n <\/li>\n <\/ol>\n <\/li>\n<\/ol>\n

                       <\/span><\/span><\/p>\n

                        \n
                      1. Automatic Invoicing Process<\/span><\/strong><\/span><\/span>\n
                          \n
                        1. The User will apply for and be booked for shifts within Locum Hub Wales as normal or enter (“External Shifts<\/strong>”) within GPWales. <\/span><\/span><\/span><\/li>\n
                        2. At 23:50 on the last calendar day of each month, invoices will be automatically generated for each Practice the user has engaged with. Content will be populated as;<\/span><\/span><\/span>\n
                            \n
                          1. All shifts worked with an Accepted or Query Resolved status at the Practice within the month when booked via Locum Hub Wales<\/span><\/span><\/span><\/li>\n
                          2. Any External Shifts entered since the last invoice, even if for previous months, but not if the shift is within a future month<\/span><\/span><\/span><\/li>\n
                          3. Shifts which have had a (“Fee Query<\/strong>”) raised by either the User or the Practice;<\/span><\/span><\/span>\n
                              \n
                            1. Before the last day of the month, <\/span><\/span><\/span>\n
                                \n
                              1. will be extracted from the invoicing process and not be released into the current or next invoicing process until they have been resolved and status updated from ‘Queried’ to ‘Query Resolved’.<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n
                              2. After the last day of the month, once resolved;<\/span><\/span><\/span>\n
                                  \n
                                1. If Fee has been increased, the difference from already invoiced fee and will be added to the next available invoice with a note in the invoice content highlighting it has been amended along with associated Pension Contribution if relevant.<\/span><\/span><\/span><\/li>\n
                                2. If the Fee has been decreased, the difference from already invoiced fee will be created as a Credit Note with a note in the invoice content highlighting it has been amended along with associated Pension Contribution if relevant.<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n <\/ol>\n <\/li>\n
                                3. Generated PDF Invoices will be automatically attached and emailed to the Practice invoice email(s) provided within the Practice Profile. <\/span><\/span><\/span><\/li>\n
                                4. Generated PDF Invoices will be separately automatically attached and emailed to the User invoice email account.<\/span><\/span><\/span><\/li>\n
                                5. Until such time as the User Account is deactivated or deleted from GPWales completely, the invoices can be viewed or downloaded historically at any time from within the ‘Invoices’ page of the ‘Locum’ menu, and for Practices within the ‘Practice Tools’ menu. This access will be allowed even after Automatic Invoicing functionality has been disabled.<\/span><\/span><\/span><\/li>\n
                                6. Upon User Account with GPWales deactivation or deletion, these invoices will no longer be accessible to the User.<\/span><\/span><\/span><\/li>\n
                                7. There is no ability to exclude shifts within GPWales from being included in invoicing.<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n <\/ol>\n <\/li>\n<\/ol>\n

                                   <\/span><\/span><\/p>\n

                                    \n
                                  1. Cancellation<\/span><\/strong><\/span><\/span>\n
                                      \n
                                    1. The User can cancel Automatic Invoicing at any time for any reason by clicking to do so within their Personal Profile. This will take effect immediately with no notice period.<\/span><\/span><\/span><\/li>\n
                                    2. In the event of cancelation soon after invoices have been generated, the User will be required to pay for the generated invoices per Clause 4<\/span><\/span><\/span><\/li>\n
                                    3. In the event of non-payment by the User, GPWales reserves the right to cancel Automatic Invoicing on that User’s Account.<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n<\/ol>\n

                                       <\/strong><\/span><\/span><\/p>\n

                                        \n
                                      1. User Obligations<\/span><\/strong><\/span><\/span>\n
                                          \n
                                        1. It is the User’s responsibility to make sure that all shifts within GPWales are to be included in Automatic Invoicing, there is no ability to exclude shifts within GPWales from being included in invoicing. <\/span><\/span><\/span><\/li>\n
                                        2. The User must record External Shifts accurately.<\/span><\/span><\/span><\/li>\n
                                        3. The User should seek to resolve any outstanding Fee Queries fairly and appropriately.<\/span><\/span><\/span><\/li>\n
                                        4. GPWales uses email and online notifications as our primary form of communication, the User must check their email (including ‘Junk Mail’) on a frequent basis to verify and maintain applications and bookings. We cannot be held responsible for any misunderstandings between Users and Practices if Users fail to do this.<\/span><\/span><\/span><\/li>\n
                                        5. GPWales is acting as a service provider only. The invoices generated are solely between the User and Practice. <\/span><\/span><\/span><\/li>\n
                                        6. GPWales shall not be liable for any loss, injury, damage, expense or delay incurred or suffered by you arising directly or indirectly from or in any way connected with you entering into any agreement or otherwise resulting from your use of the Website, including from any bug or error in the operation of the Website. <\/span><\/span><\/span><\/li>\n
                                        7. GPWales shall not be liable for any loss or damage you may incur as a result of any failure by a Practice to pay you for your work<\/span><\/span><\/span><\/li>\n
                                        8. GPWales has no responsibility for the conduct of Practices. In the event you are dissatisfied in any way, your remedy is only against the Practice. You will not have any claims against us. Any dispute arising between you and a Practice must be dealt with directly between you and the Practice concerned.<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n<\/ol>\n

                                           <\/strong><\/span><\/span><\/p>\n

                                            \n
                                          1. Data Security<\/span><\/strong><\/span><\/span>\n
                                              \n
                                            1. Bank Details for the User entered within the Setup Wizard are stored in an encrypted state and in a distinct table within the Database.<\/span><\/span><\/span><\/li>\n
                                            2. Invoices shall not be saved as PDFs within GPWales database or servers to reduce risk of Bank Details being inappropriately accessed. When a User or Practice clicks to open an Invoice record, the invoice is formed from the relevant encrypted and unencrypted data and presented to the user in real time.<\/span><\/span><\/span><\/li>\n
                                            3. GPWales take no responsibility for security and use of Invoice PDFs once they have been emailed or downloaded from the system.<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n<\/ol>\n

                                               <\/span><\/span><\/p>\n

                                              1. Data Protection – User Personal Data<\/span><\/strong><\/span><\/span>\n
                                                  \n
                                                1. Each party shall comply with the provisions and obligations imposed on it by the Data Protection Laws when processing Personal Data in connection with this Agreement.                                                   As long as GPWales is a Data Processor<\/span><\/span><\/p>\n

                                                  1. Each party shall maintain records of all processing operations under its responsibility that contain at least the minimum information required by the Data Protection Laws and shall make such information available to any Date Protection Regulator on request.<\/span><\/span><\/span><\/li>\n
                                                  2. The parties acknowledge that for certain activities GPWales shall be a Data Controller in connection with this Agreement and for certain activities GPWales shall be a Data Processor. To the extent GPWales is acting as a Data Processor in respect of User Personal Data shall apply.<\/span><\/span><\/span><\/li>\n
                                                  3. The User shall:<\/span><\/span><\/span>\n
                                                      \n
                                                    1. ensure that any instructions it issues to GPWales shall comply with the Data Protection Laws;<\/span><\/span><\/span><\/li>\n
                                                    2. have sole responsibility for the accuracy, quality and legality of User Personal Data and the means by which GPWales acquired the User Personal Data; and<\/span><\/span><\/span><\/li>\n
                                                    3. establish the legal basis for processing under Data Protection Laws, including providing all notices and obtaining all consents as may be required under Data Protection Laws in order for GPWales to process the User Personal Data as otherwise contemplated by this Agreement.<\/span><\/span><\/span><\/li>\n
                                                    4. To the extent GPWales receives from, or processes any User Personal Data on behalf of, the User, GPWales shall:<\/span><\/span><\/span>\n

                                                      1. process such Personal Data only in accordance with the User's written instructions from time to time (including those set out in this Agreement) save for processing which GPWales is required to do by Applicable Laws;<\/span><\/span><\/span><\/li>\n
                                                      2. take commercially reasonable steps to ensure its personnel are authorised to have access to such User Personal Data, and ensure that any such personnel are committed to confidentiality or are under an appropriate statutory obligation of confidentiality when processing such User Personal Data;<\/span><\/span><\/span><\/li>\n
                                                      3. taking into account the costs of implementation and the nature, scope, context and purposes of the processing, implement technical and organisational measures and procedures to ensure security for such User Personal Data appropriate to the risk, including the risks of accidental, unlawful or unauthorised destruction, loss, alteration, disclosure, dissemination or access;<\/span><\/span><\/span><\/li>\n
                                                      4. inform the User without undue delay upon becoming aware of any such User Personal Data (while within GPWales's or its subcontractors or affiliates possession or control) being subject to a personal data breach (as defined in Article 4 of GDPR);<\/span><\/span><\/span><\/li>\n
                                                      5. not disclose any User Personal Data to any Data Subject or to a third party other than at the request of the User or as expressly provided for in this Agreement;<\/span><\/span><\/span><\/li>\n
                                                      6. except for User Personal Data of which GPWales is also a Data Controller and except as required by law or in order to defend any actual or possible legal claims, as the User so directs, take reasonable steps to return or irretrievably delete all User Personal Data on termination or expiry of this Agreement, and not make any further use of such User Personal Data;<\/span><\/span><\/span><\/li>\n
                                                      7. take such steps as are reasonably required to assist the User in ensuring compliance with its obligations under Articles 30 to 36 (inclusive) of GDPR;<\/span><\/span><\/span><\/li>\n
                                                      8. notify the User as soon as reasonably practicable if it receives a request from a Data Subject to exercise its rights under the Data Protection Laws in relation to that person's User Personal Data; and<\/span><\/span><\/span><\/li>\n
                                                      9. provide the User with reasonable co-operation and assistance in relation to any request made by a Data Subject to exercise its rights under the Data Protection Laws in relation to that person's User Personal Data provided that the User shall be responsible for GPWales' costs and expenses arising from such co-operation and assistance.<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n
                                                      10. if either party receives any complaint, notice or communication which relates directly or indirectly to the processing of User Personal Data by the other party or to either party's compliance with the Data Protection Laws, it shall as soon as reasonably practicable notify the other party and provide the other party with commercially reasonable co-operation and assistance in relation to any such complaint, notice or communication.<\/span><\/span><\/span><\/li>\n
                                                      11. The User agrees that GPWales may engage Third Party Providers including any advisers, Locum GPs, or auditors to Process User Personal Data ("Sub-Processors"). By entering into this Agreement, the User is deemed to have approved the use of GPWales' current Sub-Processors. If GPWales engages a new Sub-Processor GPWales shall inform the User of the engagement by sending an email notification to the User.<\/span><\/span><\/span>\n
                                                          \n
                                                        1. If the User has a reasonable basis to object to GPWales' use of such Sub-Processor, and such objection directly relates to the User's obligations under Data Protection Legislation, the User shall notify GPWales promptly in writing within 5 Business Days after receipt of the User's notice.<\/span><\/span><\/span><\/li>\n
                                                        2. GPWales shall ensure that its contract with each Sub-Processor shall impose obligations on the Sub-Processor that are materially equivalent to the obligations to which GPWales is subject to<\/span><\/span><\/span><\/li>\n
                                                        3. Any sub-contracting or transfer of User Personal Data shall not relieve GPWales of any of its liabilities, responsibilities and obligations to the User under this Agreement and GPWales shall remain liable for the acts and omissions of its Sub-Processor.<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n
                                                        4. Where User Personal Data is Processed by GPWales under or in connection with this Agreement on behalf of the User as the Data Controller, the User agrees that GPWales may disclose the User Personal Data to GPWales' employees, sub-Contractors (including Third Party Providers), agents, Affiliates and Affiliate employees as GPWales reasonably considers necessary for the performance of its obligations under this Agreement, for compliance with applicable law, and the defence of any actual or possible legal claims. GPWales shall take reasonable steps to ensure the reliability of any person who has access to the User Personal Data and ensure that such persons are aware of GPWales' obligations under this Agreement.<\/span><\/span><\/span><\/li>\n <\/ol>\n <\/li>\n<\/ol>\n

                                                          1. Limitations and Exclusions of Liability<\/span><\/strong><\/span><\/span>\n

To the extent that the website and the information and services on the website are provided, our liability to you in relation to the use of our website or under or in connection with these Terms, whether in contract, tort (including negligence) or otherwise, will be limited as follows: neither GPWales or their officers, employees or consultants will be liable to you for any loss or damage of any nature whether arising directly or indirectly from the use of or reliance on information obtained from this website. Neither GPWales or their officers, employees or consultants will be liable for any consequential, indirect or special loss or damage and will not be liable for any loss of profit, income, revenue, anticipated savings, contracts, business, goodwill, reputation, data, or information.<\/span><\/span><\/span><\/li>\n

                                                                  What Happens?<\/span><\/strong><\/p>\n

                                                                  Once a month, just before midnight on the last day Locum Hub Wales will email directly to Practice’s provided ‘Invoice Email(s)’ an attached PDF invoice to each Practice you’ve engaged with in that month. You’ll get a similar email so you can easily know what’s been sent.<\/span><\/span><\/p>\n

                                                                  Both you and the Practice will be also be view these invoices, or any historically (login and navigate to ‘Invoices’ in the ‘Locum’ menu)<\/span><\/span><\/p>\n

                                                                  Locum Hub Wales will determine what to include in these invoices by looking at 3 sources:<\/span><\/span><\/p>\n

                                                                    \n
                                                                  1. All unqueried shifts worked within the month (when booked via Locum Hub Wales)<\/span><\/span><\/li>\n
                                                                  2. Any External Shifts (shifts not booked via Locum Hub Wales) entered since the last invoice (even if for previous months, but not if the shift is within a future month)<\/span><\/span><\/li>\n
                                                                  3. Any resolved Fee Queries since the last invoice – this may (if the fee has been changed downwards) be added as a distinct Credit Note rather than an amendment in the invoice.<\/span><\/span><\/li>\n<\/ol>\n

                                                                     <\/strong><\/span><\/span><\/p>\n

                                                                    What does it Cost?<\/strong><\/span><\/span><\/p>\n

                                                                    £1.80 (£1.50 ex VAT) per invoice (1 for each practice per month).<\/span><\/span><\/p>\n

                                                                    ALL income from Automatic Invoicing is guaranteed to be 100% reinvested in Locum Hub Wales.<\/span><\/span><\/p>\n

                                                                    Payments are managed directly with Locum Hub Wales in one of two options;<\/span><\/span><\/p>\n

                                                                      \n
                                                                    1. Direct Debit – a simple form and we’ll invoice each month for what you use, and it’ll be debited from your account automatically. You can stop\/cancel it and switch options whenever you wish<\/span><\/span><\/li>\n
                                                                    2. Pre-paid balance - Your balance must be pre-paid (minimum top-up £36, maximum £180) and paid manually, one of our Support Team will get in touch with you whenever your balance needs topping up – please note that late payment may result in missing invoices for a period so we’d recommend Direct Debit.  Also if you decide to stop the service for any reason, we’ll refund any unused credit to the same bank details you receive the invoices to.<\/span><\/span><\/li>\n<\/ol>\n

                                                                      How do I Start?<\/strong><\/span><\/span><\/p>\n

                                                                      To have invoices generated and sent on your behalf you’ll need to set up Automated Invoicing – you can do this within the ‘Financial’ tab of your Personal Profile and following the steps in the Setup Wizard.<\/span><\/span><\/p>\n

                                                                      How\/When\/Why can I Stop?<\/strong><\/span><\/span><\/p>\n

                                                                      You can stop the service any time for any reason. It will stop as soon as you click to stop within the Financial tab of your personal Profile. Note that if you stop just after<\/em> the end of a month you’ll still be required to pay for the invoices generated.<\/span><\/span><\/p>\n

                                                                      You’ll be able to view any invoices generated previously even after you stop for as long as you retain a Locum Hub Wales user account (if you delete or deactivate your account your invoice information will be delete irrecoverably)<\/span><\/span><\/p>\n

                                                                      Any unused balance on your payment account will be refunded and a member of the support team will get in touch to confirm this.<\/span><\/span><\/p>\n

                                                                      Note that if you stop your GPWales User Account this will also automatically stop your Automatic Invoicing.<\/span><\/span><\/p>\n

                                                                       <\/span><\/span><\/p>\n

                                                                      Data Sharing\/Is my Data Safe?<\/strong><\/span><\/span><\/p>\n

                                                                      Yes, your data is extremely safe. Your Bank Details are saved within a special encrypted location in an encrypted state. You’ll be required to log back in at any stage where you’d see or edit your bank details every 10 minutes. Invoice PDFs are created each time you wish to view them rather than being saved as PDFs to reduce the instances where your bank details are saved. If you chose to save your invoices outside of Locum Hub Wales we’d recommend you do so securely.<\/span><\/span><\/p>\n

                                                                      Invoice information (Title, Name, Address, Bank Details, shift and pension information) will be shared (within the invoices) with each Practice you work with.<\/span><\/span><\/p>\n
